As much as faxes seem like an obsolete technology, its something we won't be able to get rid of anytime soon. As many small businesses do not want to be tied down by the restrictions and costs of a land line, having a fax option that doesn't require the noisy-quacking-machine is ideal. There are quite a few software options available, however some of them can be as cumbersome as the actual fax machine we are trying to eliminate. Luckily, there are web based solutions that make it much easier to manage faxing needs.
LIKES
Since we are already fans of RingCentral's voice service, we thought we would see if their fax plan was as good as the rest of their line of tools. We are excited to report that RingCentral has put all the polish and forward thinking into their RingCentral Fax service as we would have hoped.
They provide a number of ways to send outgoing faxes, none of which tie up, or even require a phone line nor fax machine. You can send faxes by email, by uploading documents to the website, and through most Microsoft applications. Since the fax is sent via RingCentral's internet servers, you don't have to wait around for the fax to transmit, and if the line is busy, it will continue to try until your recipient does get the fax.
The internet fax technology is pretty simple, however RingCentral is our favorite for a variety of reasons.
Offers both local and toll-free numbers
All outgoing faxes are sent securely
Get text messages when new faxes arrive
Offers the cheapest over-the-limit page fees
Send from Microsoft Windows applications, including Outlook
Send over 50 different file types as attachments
Can receive from any fax machine in the world
Desktop software that can manage faxes (Both PC & Mac Compatible)
Integrates with RingCentral's other services
RingCentral Fax is quite simple to use. The desktop tool (if you want to use it) is quickly installed and will sync with Outlook easily. Its easy to set your preferences, like notifications and allow/block settings. There are very easy to follow help guides if you want to understand all the finer points of the service, but its very intuitive to use.
There are multiple plans to choose from, and you need to consider your estimate usage so you can avoid overage fees per page. Thankfully RingCentral Fax has the lowest per-page overage amount we found, at only 3.9 cents per page.
Your store online faxes also only remain in the system for 30 days, however you can download them, or archive them in your e-mail, so its not really a big concern.
